What information we collect

When you visit our website: basic technical information such as your IP address, browser type and the pages you view, collected through cookies.

When you get in touch or book a call: your name, email address, and anything you choose to tell us in your message.

When you become a client: your contact details, payment details, and the information you share in sessions, such as your sport, goals, wellbeing and life circumstances. This may include information about your mental or physical health, which is “special category” data under data protection law and is handled with extra care.

When you book a team or club workshop: the contact details of the person organising it, details about the group, and any information shared during discovery calls.

How and why we use your information

We only use your personal information where we have a lawful reason to do so. Here’s how we use it, and the legal basis for each use.

  • Replying to enquiries and arranging discovery calls: we do this under legitimate interests, so we can respond to people who contact us.

  • Providing sessions and workshops, including taking notes: we do this to carry out our contract with you, so we can provide the service you’ve asked for.

  • Using health-related information you share with us: we do this with your explicit consent.

  • Taking payments and keeping financial records: we do this to carry out our contract with you and to meet our legal obligations.

  • Keeping records for professional, insurance and legal reasons: we do this to meet our legal obligations and under legitimate interests.

  • Sending newsletters or updates: we do this with your consent, which you can withdraw at any time.

  • Improving our website: we do this under legitimate interests, or with your consent where cookies require it.

We don’t sell your information or use it for automated decision-making.

Who we share your information with

We only share information where needed, and not beyond that. This may include:

  • Supervision. Eva Barrellon-Kendall works under supervision as part of her training. Case discussions are kept anonymous wherever possible and shared only for professional and ethical oversight. See our Confidentiality & Supervision statement.

  • Service providers that help us run the business, acting on our instructions: for example website hosting Squarespace, video call software Zoom, booking and scheduling tools Calendly, payment providers Stripe, email services Outlook and accounting software Xero.

  • Professionals or services where required: for example a GP, a therapist or emergency services, but only with your consent, unless there’s a serious safeguarding concern or legal duty (see our Confidentiality & Supervision statement).

  • Regulators, insurers or legal advisers, if necessary.

International transfers

Some of our providers may store data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK-approved standard contractual clauses or an adequacy decision.

How long we keep your information

  • Enquiries that don’t lead to work: 12 months

  • Client records and session notes: 7 years after our work ends, or longer for under-18s, in line with professional and insurance requirements

  • Financial records: 6 years, as required by law

  • Mailing list: until you unsubscribe

After this, we delete or anonymise your information securely.

How we keep it safe

We use secure, password-protected systems, restrict access to people who need it, and store records in line with professional standards. No online system is completely risk-free, but we take reasonable steps to protect your information.

Your rights

Under UK data protection law, you can ask us to:

  • Give you a copy of the information we hold about you

  • Correct anything that’s wrong

  • Delete your information, in some circumstances

  • Restrict or object to how we use it

  • Move your information to another provider

  • Withdraw your consent at any time, where we rely on it

To make a request, email [email address]. We’ll respond within one month.

Complaints

If you’re unhappy with how we’ve handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
